Manage your team
Give colleagues and volunteers their own sign-in, and choose what each of them can do. There are two levels: a person's role in your account, and the jobs they do at each event.
Account roles
| Role | What they can do |
|---|---|
| Owner | Full access. Can't be removed. |
| Manager | Full access, same as the owner: events, orders, payouts and settings. Works every event. |
| Staff | Door and counter only, on the events they're added to. Nothing else. |
Invite someone to your account
- Go to Account and open the Team tab.
- Under Invite someone, enter their Email and, if you like, their name.
- Choose a Role: Staff, or Manager (only the owner can invite managers).
- Choose Send invite.
New people get an email with a temporary password. When they first sign in, they're asked to choose a new password before they continue. Someone who already has a BooTickets sign-in just signs in as usual.
Staff start with no access at all, so add them to the events they're working (below).
Give people jobs at an event
- Open the event and choose Event team (Who scans, who sells).
- Under Your staff, tick what each person is doing here:
- Scanner: scans tickets on the door, in the mobile app.
- Box office: sells tickets at the counter, in the browser. Someone can do both. Untick everything to take them off this event. They stay in your account and keep their other events.
- To add someone new, enter their details, fill in Doing what, and choose Send invite. This creates their sign-in and puts them on the event in one step.
Scanners need the BooTickets Scanner app. Use the download links (or Copy link) on the Event team page to send it round. Box office staff don't need it.
Change or remove someone
On Account → Team, use the role menu next to a person to change their role (making someone a manager asks you to confirm), or choose Remove. Removing someone takes them off every event straight away. Their BooTickets sign-in still exists, but it no longer reaches your account.
Reset two-step verification
If someone loses the phone with their authenticator app, choose Reset 2FA next to their name. They can then sign in with their password alone, and set two-step verification up again.
- The owner can reset managers and staff. A manager can reset staff.
- Nobody resets their own from here. You can turn yours off from your User account tab.
- If you're the owner and you've lost your authenticator, contact BooTickets support.
Good to know
- Owners and managers can scan and sell at every event, without being added.
- Staff never see takings, settings or event editing, even on events they're working.
- The Event team tile is there until the event is over.
